Liquor-by-the-drink licenses renew every year through the TABC’s RLPS portal. The TABC can inspect anytime from 75 to 45 days before the license expires.
The license number, agency, expiration date, and the document itself live in 1 record, with alerts at 90, 60, and 30 days. The first alert lands before the inspection window opens.
Beer permits come from your city or county beer board, separate from the TABC. Permit holders also owe a $100 annual beer privilege tax, due Jan. 1.
Add the beer permit and the tax date to HOSP and they get the same 90, 60, and 30 day alerts, with the permit 1 tap away.
New servers have 61 days from hire to get a TABC server permit. Permits issued since Jan. 1, 2025, last 2 years, and the TABC expects copies of every server permit on site.
Each permit lives on the staff record with the same 90, 60, and 30 day alerts, so a permit doesn’t lapse without anyone noticing.
A guest fall, a staff injury, or an intoxicated guest needs a written record the night it happens.
Managers file it from a phone with people, photos, and a status from reported to resolved. Every change is dated and tied to a name.
Leases, vendor contracts, and insurance all carry end dates and renewal dates that matter.
Upload the PDF and HOSP reads it, summarizes it, and tracks the end and renewal dates with the same alerts as your licenses.
Venue records usually live in 1 of 3 places.
The folder exists. The manager on shift tonight doesn’t have access to it.
Everything important sits on 1 computer, and nobody remembers the password.
Your go-to manager knows every date. When they leave, the dates leave with them.
On the HOSP + Attorneys plan, the HOSP team is notified when you file and replies in the same thread during business hours, with no hourly fees.

HOSP tracks the date and keeps the documents ready. You or your team file the renewal in RLPS. On the HOSP + Attorneys plan, license applications and renewals are part of attorney access.
